Services are delivered by experienced clinicians in a welcoming and confidential environment at our Upper East Side clinic.

The Role: Seleni is seeking a Clinic Care Coordinator to support the daily operations of our psychotherapy clinic. This role is essential to ensuring a seamless, compassionate experience for our patients and providing key administrative support to our clinical team. The ideal candidate is empathetic, highly organized, personable, and solution oriented. Salary: $60,000 per year

Key Responsibilities

  • Serve as the welcoming voice of Seleni, responding to patient inquiries via phone and email with warmth, professionalism, and empathy

  • Conduct structured intake calls with prospective patients to assess needs facilitate thoughtful clinician matches

  • Coordinate scheduling and administrative needs between patients and clinicians, ensuring timely communication and follow-up

  • Process patient payments and assist with billing questions in collaboration with our external billing partners

  • Evaluate out-of-network insurance benefits and help patients navigate and optimize their mental health coverage

  • Act as a consistent point of contact for patient follow-up questions, concerns, and administrative support

  • Build and sustain relationships with referring providers to support clinic marketing efforts and ensure continuity of care for patients

  • Partner with leadership to identify and implement process improvements that enhance clinical operations and patient experience

  • Oversee CE/CME certificate issuance for participants in Seleni’s professional training programs and manage student communications

  • Maintain a clean, organized, and inviting clinic environment, overseeing the appearance of shared spaces

  • Restock and organize clinic supplies as needed, including occasional light lifting (e.g., deliveries, paper products, office materials)

Requirements

Minimum Qualifications

  • Bachelor's degree

  • Experience in Health Information Management/EMR (Electronic Medical Records) processes

  • Strong interest in health care, mental health, and patient-centered service delivery

  • Excellent organizational and interpersonal communication skills

  • Ability to handle sensitive information with discretion and professionalism'

Preferred Qualifications

  • At least two (2) years of experience in a medical or mental health office in a patient-facing role

  • Demonstrated experience in insurance verification, patient intake coordination, and customer service

  • Background in psychology or behavioral health strongly preferred

  • Experience in Google Suite, Microsoft Office, and/or Slack

  • Knowledge of HIPAA Privacy & Security
